How OS Measure collects, uses, and protects your information.

1. Introduction

This Privacy Policy describes how OS Measure ("OS Measure", "we", "our" or "us") collects, uses, and shares information when you use the OS Measure mobile application and related services (together, the "App"). OS Measure is a companion application to the Flooring OS platform ("Flooring OS"), and your use of the App is also subject to any applicable agreements between you, your organization, and Flooring OS LLC.

By installing or using OS Measure, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this Policy, please do not use the App.

2. Scope

This Privacy Policy applies only to the OS Measure mobile application and the data it processes as part of the Flooring OS ecosystem. It does not apply to other websites, mobile apps, or services that may be linked from within the App or to any third-party services you may use in connection with Flooring OS, unless specifically stated otherwise.

3. Information We Collect

3.1 Information you provide to us

When you use OS Measure, we may collect the following types of information that you or your organization provide:

  • Account information: Your Flooring OS account is typically created and managed by your organization. Through OS Measure we may access identifiers such as your username, display name, email address, role, and store or organization association, as provided via Flooring OS or your single sign-on / identity provider.
  • Project and measurement data: Information related to jobs, projects, quotes, rooms, measurements, and other project details that you create, edit, or sync using the App.
  • Media content: Photos, videos, sketches, and other files that you capture or upload through the App (for example, room photos, project images, or supporting documents).
  • Forms and support information: Information you enter into forms, notes, or comments, as well as information you provide if you contact support through channels referenced from the App.

3.2 Information collected automatically

When you use OS Measure, we may automatically collect:

  • Device and usage information: Such as device model, operating system, app version, unique device identifiers, settings, crash logs, performance data, and usage information (for example, which features are used and how often).
  • Log data: Technical logs related to authentication, sync operations, offline queue processing, and error events in order to maintain security and improve reliability of the App.
  • Location-related information: OS Measure does not continuously track your precise location; however, if you choose to use location-based features (for example, finding or validating an address on a map), we may process approximate or device-based location data as provided by your device or browser.

3.3 Offline mode and local storage

OS Measure may provide an offline mode to allow you to continue working when your device is not connected to the internet. In offline mode:

  • Project data, measurements, media, and pending requests may be stored locally on your device until a connection is available and synchronization with the server is possible.
  • Local storage may include databases, caches, and temporary files required for the App to function properly offline.
  • Removing the App from your device may delete locally stored data that has not yet been synced to Flooring OS.

4. How We Use Your Information

We may use the information we collect for the following purposes:

  • To provide, operate, and maintain OS Measure and its features.
  • To authenticate you using your organization’s chosen sign-in provider (for example, Microsoft account) and enforce access controls aligned with your Flooring OS role.
  • To create, manage, and synchronize projects, rooms, measurements, media, and other data with the Flooring OS platform.
  • To support offline capabilities and later synchronize your work when connectivity is restored.
  • To monitor and improve the performance, reliability, and security of the App.
  • To provide customer support and respond to your inquiries.
  • To comply with legal obligations and enforce our agreements and policies.

OS Measure is a business application and is not used to show you third-party advertising.

5. Legal Bases for Processing

Where required by applicable law (for example, in the European Economic Area, the United Kingdom, or similar jurisdictions), we rely on one or more of the following legal bases to process your personal information:

  • Performance of a contract: When processing is necessary to provide the App and Flooring OS services under the applicable agreements with your organization.
  • Legitimate interests: To secure the App, improve functionality, and support your organization’s operations, provided that these interests are not overridden by your fundamental rights and freedoms.
  • Consent: Where required, for specific optional features (for example, enabling certain location-based or analytics features where consent is mandated).

6. How We Share Information

We may share information collected through OS Measure in the following circumstances:

  • With your organization: Project and user data created through OS Measure is stored as part of your organization’s Flooring OS environment and may be accessible to administrators, managers, and other users according to your organization’s settings and internal policies.
  • With service providers: We may share information with carefully selected third-party vendors that provide services such as cloud hosting, data storage, logging, analytics, support, or identity management, solely to help us operate and support the App.
  • For legal reasons: We may disclose information if we believe it is reasonably necessary to comply with applicable law, regulation, legal process, or governmental request; to enforce our agreements and policies; or to protect the rights, property, or safety of Flooring OS LLC, our users, or others.
  • Business transfers: In connection with a merger, acquisition, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality safeguards.

We do not share your information with third parties for their own independent marketing purposes through OS Measure.

7. Data Retention

We retain information collected through OS Measure for as long as necessary to fulfill the purposes described in this Privacy Policy, to comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods may also be determined by your organization’s configuration and policies within Flooring OS.

Local data stored on your device for offline use is generally retained until it is synchronized or no longer needed, or until you clear the App data or uninstall the App from your device.

8. Security

We implement technical and organizational measures designed to protect your information against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. These measures include access controls, encryption in transit where appropriate, and logical separation of customer environments.

However, no method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

9. International Transfers

Depending on your organization’s location and the location of our infrastructure and service providers, your information may be transferred to and processed in countries other than the country in which it was originally collected. These countries may have data protection rules that are different from your country’s laws.

Where required by law, we implement appropriate safeguards (for example, standard contractual clauses or equivalent mechanisms) to protect personal data in connection with such transfers.

10. Your Rights and Choices

Depending on your location and applicable law, you may have certain rights regarding your personal information, such as the right to:

  • Access the personal information we process about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your personal information, subject to legal and contractual obligations.
  • Object to or request restriction of certain processing activities.
  • Request portability of your information in a structured, commonly used format.
  • Withdraw consent where processing is based on your consent (without affecting the lawfulness of processing before withdrawal).

In many cases, your Flooring OS administrator controls your account and data. If you would like to exercise your rights, please first contact your organization’s Flooring OS administrator. You may also contact us using the contact details described below. We may need to verify your identity before responding to certain requests.

11. Children’s Privacy

OS Measure is intended for use by businesses and professional users only and is not directed to children. We do not knowingly collect personal information from children under the age required by applicable law (for example, 13 or 16). If you believe that a child has provided personal information through the App, please contact your organization’s administrator or us so that we can take appropriate steps.

12. Third-Party Services and Links

OS Measure may integrate with or provide links to third-party services (for example, identity providers for single sign-on, mapping or geocoding services, or embedded content). This Privacy Policy does not govern the practices of those third parties. Their use of your information is subject to their own privacy policies and terms.

We encourage you to review the privacy policies of any third-party services you use in connection with OS Measure and Flooring OS.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the App’s functionality, or applicable law. When we make material changes, we will update the "Last updated" date at the top of this page and may provide additional notice where required (for example, within the App or via your organization’s contact channels).

Your continued use of OS Measure after any changes become effective signifies your acceptance of the revised Privacy Policy.
